Policies & Procedures
for Herb Consults
You will receive a copy of the policies and procedures when you receive your documentation by email.
E-mail Address
This is an online service, we require your e-mail address to contact you, schedule your appointments, send you information on downloading forms, instructions and so on.
We will use your e-mail address to send you reminders of any pre-scheduled appointments and to make sure you submit required documentation in a timely fashion. You will also be added to the Herb Consults newsletter and we may send you news and offers we think you may be interested in.
If you do not have email, please call and ask for other arrangements.
Your Scheduled Appointment
Please make sure you are available to take the call when it’s your scheduled appointment time. We will only attempt to call you during the first five minutes of your pre-scheduled appointment time. There are no refunds if you neglect to answer your phone.
We will require your full attention during the phone consultation. We ask that you treat your phone consultation as if we were doing this face to face. We have a specific time period set aside for your phone consultation. For most people, this is more than enough time. We will not be able to prolong any consultation beyond your allotted time.
If you require more time than what is specified you may ask for it in advance and you will be charged an additional amount for every extra 15 minutes.
If you need a second person on the call with you to help you answer questions, that’s fine with us. They can be on speaker phone, another line in your house or we may be able to use three-way conferencing if the practitioner and you have that capability with your phone service.
We do understand that life happens, that occasionally someone has an emergency. If this is the case, please call (leave a message if you go to voice mail), and tell us you can’t be there and why. We will re-schedule your appointment for another day and time.
In this instance, re-scheduling may be done only one time only, and must be done within ten days of the missed appointment. Please be aware that you may not get your desired day and time with such short notice. There are no refunds if you re-schedule after the 24-hour window prior to your pre-scheduled appointment time.
Call Waiting
Turn off call waiting, and if you don’t know how to turn it off, don’t answer it during your consultation. We require your full attention during your consult.
If you take any other calls during your consultation, other than speaking with your practitioner, it is our assumption that the consultation is completed, because it’s as if you got up and left the room while talking to us. There are no refunds if you leave the consultation for any reason while we are conducting your consult.
In this instance, if you leave the consultation before it’s completed, you will need to re-schedule and pay for the consult again.
Re-Scheduling Your Appointment
You may re-schedule phone consultations at any time up to 24 hours (one day) before your pre-scheduled appointment.
Refunds
Refunds are given if canceled more than 24 hours in advance of the scheduled appointment time. This will be determined by the date and time stamp on the email or by the time you have called. No refunds are granted if you fail to cancel prior to 24 hours before your pre-scheduled appointment time.
Why is this? This is standard industry practice and there are two main reasons for this policy: It is highly unlikely that we will be able to fill that opening with such short notice. Your time has been set-aside just for you, probably for a few weeks as we have limited openings.
Secondly, a portion of your consult has already been completed before we even talk to you. By now, your practitioner has received your information, reviewed your documentation and is ready to complete your consult with the one-on-one phone interview. At Herb Consults, we feel that the phone consultation portion of your evaluation is a very important part of diagnosis and determining a plan of treatment with herbs because most people leave things out on written forms that may make a big difference in improving your health problem.

Changes will be reflected on this website page and are effective immediately.
